The sales app user can book one or multiple units from the Sales application and send them for approval to their respective managers or team leads (TL). You can book multiple units using the multi-booking capability in the Sales app against a lead.

1. Understand the Booking Flow
Each sales agent (Sales app user) can create multiple bookings on a single lead using the Sales app. Each booking will go through an approval process before it is closed. After an agent creates a booking, it is sent for approval.
Note: The approval process has two levels of approval: level 1 and level 2. |
Both level 1 and level 2 approvers get options to approve or reject the booking. If a booking gets rejected at any level, the booking goes back to the creation stage, where the agent can now edit booking info and send for approval again. And then the approval will start from level 1 onwards.
Note: Any old bookings already present in the system, before this feature release, will appear as "Auto-approved". |
Let's understand, the complete process of creating bookings and how to send them for approval.
2. Creating a Booking & Mandatory Fields (*)
A Booking gets automatically created when a lead is moved to Final Negotiation or Booking Done Bucket.
When the user moves a lead from a bucket (claimed/Interested/meeting done/visit done) to Final Negotiation Or Booking Done, a Booking form comes up, where the user requires to fill in Booking details.
Note:
I. While moving the lead to Final Negotiation or Booking Done bucket, the Configuration (*) field is mandatory. However, it's advised to fill in all the details that appear in Booking Form i.e. Unit No, Floor No, Base Price, Floor Price, Area(sqft), Building Name, etc...
II. You can always go back and Update the Booking Information.
III. More bookings can be created on leads in the Booking Done bucket, from the lead details screen.
3. Registering Co-Applicants
On a particular booking, multiple co-applicants can now be added. This can be done when editing booking info for a particular booking. Clicking on "Add co-applicant" and specific "co-applicants" details like his name, PAN, and Aadhaar details.
Note: Co-applicants can also be removed from the booking info. |
4. Sending Bookings for Approvals
After bookings are created on the lead, each booking can be sent for approval after filling up all necessary information. After a booking is sent for approval, its approval status is now visible on the screen.
If all the required information is not filled up in the booking info form, the booking will not be sent for approval and the screen will display a blocker message.
Note:
i. Bookings can be removed and canceled after creation. No booking can be canceled or removed during the pending approval state.
ii. Once a booking is sent for approval, booking info cannot be edited further. The status of approvals at each level is visible on the app, as soon as the booking is sent for approval.

6.1. Update newly created booking info
You can update the Booking Info by clicking on the edit option as shown in the pic below. The Booking Info can be edited anytime before sending it to approval.
Note: In case the Booking request gets rejected by the approver, you can go back to the edit option and update the Booking Info. |
6.2. Update the Booking Info once the booking is rejected by the approver
If a Booking request is rejected by the approver (might be the approver asks for additional/correct details), you can Update the Booking Info and send it back for Approval.
6.3. Mark the lead failed once the Booking is rejected by the approver
If a Booking request is rejected by the approver (could be any reason), you can still mark the lead as failed. The below pic shows how a lead can be moved to the Failed bucket post Booking request rejected by approver shown in the above point.
7. Approving Bookings
Once a booking is sent for approval, both level 1 and level 1 approvers will receive email notifications. The listed approvers can log in to the bookings page on the Dashboard and can view the status and approve or reject the booking.
When approving or rejecting any booking, notes can also be added.
Note: Approver can also attach more documents while approving a booking, for example, offline booking form, booking checklist, etc. |
All bookings created are visible on the Bookings page (Dashboard). On this page, bookings can be filtered by selecting different mandates, agent-wise, and booking-status-wise.
Bookings created on a lead can be viewed by clicking on the lead card. This opens lead details where all booking details are visible under the basic details tab.
To approve a booking, open booking details by clicking on "View Details" and scroll down to "Approve" or "Reject". Choose the particular option and submit with a specific note.
Note: Additional documents can be attached while approving the booking. |
